Three Winning Advantages of BIM Software Rental Licensing

My April Sourcceable.net article highlights three financial situations; where current BIM-CAD software licensing; became an extreme financial liability. It recently affected hundreds of firms and thousands of design, engineering and construction professionals.

BIM and CAD software licensing has been transitioning toward subscription-only programs. These programs are best described as pay-as-you-go, software rental, subscription or Software-as-a-Service (SaaS) programs.

In 2016, Autodesk Subscription Licensing Programs begin a major transition to BIM-CAD software rental or pay-as-you-go licensing programs. As new licensing is incrementally rolled out, this model will eventually become the standard software delivery-access process for design professionals.

If Revit-AutoCAD software rental licensing had been available prior to 2009 –the financial  and employment impact on the AECO market would have been different. It affected hundreds of my clients, colleagues and my career. Which is why the article is titled;

My 30-Year Journey of Autodesk Licensing – It’s Time for a Transition

My first PC CAD software license was AutoCAD 1.x (1984) and my first BIM software license was Revit 4.0 (2002) The AutoCAD software was a perpetual license but the Revit license was an annual subscription (rental) license.

The AutoCAD perpetual license worked 24\7\365 –and allowed us to choose when or if we upgraded to the next software version. The Revit subscription (rental) license worked for 12 months and then required payment to run for another 12 months.

There was the infamous AutoCAD 2.5x software license; that included a hardware lock (licensing) device. The device connected to the computer’s parallel port (printer) to verify that it was a legal license. Without the hardware lock, the CAD software license would not to run. Eventually, Autodesk issued authentication codes with software licenses; that needed to be entered at the time of installation.

My Revit subscription (rental) license periodically “pinged” the Revit Corporate web license server to authenticate my laptop license. However, a few times when Revit tried to authenticate the license; I was not connected to the internet.

In those situations; the Revit license operated only in “Demo Mode” and could not save changes to the project file. I needed to connect my laptop to the internet to authenticate my license to obtain “Edit Mode” functionality for my project.

Eventually, Autodesk switched Revit to a perpetual license –but maintained both the annual version updates and the upward-only file compatibility process started by Revit.

A LinkedIn connection recently sent me this message: I’m seeking helpful tips about network and hardware requirements for best performance in Revit model links.

Our model is almost 400MB size and we’re trying to find a solution through changes in the network hardware. We have a network speed of 1GB and we are facing a problem of Revit crashing when synchronizing to central model especially the MEP. While we’re working with Autodesk, have you any suggestions?

Update: Thank you Daniel, these suggestions were helpful.

Here are the Revit worksharing suggestions that I sent via LinkedIn.

1. Revit performs best with lots of RAM, Fast Hard Drives with a high percentage of open file space, and Fast Network Connections (1GB)

2. Install 16, 24 or 32 GB of RAM on the local PCs, obviously using a 64-Bit OS & 64-bit Revit software. RAM is a one-time purchase. The ongoing mounting costs of downtime and troubleshooting user issues due to lack of RAM –its pays for itself with one “downtime event”. The larger firms that I’ve visited (last 12 months) have minimum RAM specifications of 24-32GB of RAM.

3. Configure the local computer’s Paging File, file size –to be equal to the “Recommended” size in the  Virtual Memory dialog box.

(Verify there’s enough open disk space & verify w/ IT Manager prior to using this)

4. Selective purging of unused content within the project file to minimize file size. We recommended this process at project milestones: Schematics, DD, CD and/or document releases or document printing.

5. Use a Save-to-Central and select the Compact File Option to reduce Revit project file size regularly. This option works with non-workset configured Revit Project files (RVT) and/or Revit Family (RFA) files — to reduce file size.

6. Create a schedule for users to stagger their Save-to-Central – so 2 or more users are not waiting or  saving to central at the same time.

7. I suggest creating a new local file for each user a few times per month. The local files become bloated and less efficient over time. Note: Save to-Central prior to creating new local project files.

8. The Ideate Tech Support Article; “The Importance of Auditing Revit Models” Tip#3 reviews auditing a Revit  to improve performance.

Tip #3: If your Revit model is starting to take its time opening or you notice general performance issues, then auditing it may improve the time it takes to open your project.

9. Consider performing a  monthly Clean Disk and Defragment routine on each local computer to remove all temp files. Prior to running this routine, EXIT all software  programs and close ALL files.

10. Review your Revit Workset organization  against your Revit project workflow. Do they include too much information; that users don’t always need to load. If you distributed the Revit content into more, but smaller worksets –does that perform better?

10. Make sure that ALL Worksets don’t load when opening a Revit project file. We usually set the structural grid to auto-load so we knew where we were in the building. Then request users to manually load what they need.

11. Make sure each Linked CAD file is assigned its own workset–as CAD files can bog down a Save-to-Central

12. Make sure each Linked Revit model file is assigned its own workset including any terrain or landscaping files.

13. Does the Server have a high percentage of open disk space

14. Does the Server have disk speeds faster than the local PCs

15. Are the Server specifications better than the Local PCs?

16. Are you working in the cloud or remotely? How fast are your web connections to the remote server?

17. Make sure the server is not performing file backup-maintenance or running virus scans during working hours. I’ve personally encountered networks; that started file backup routines and/or virus scans on the server, over the lunch hour — which completed later in the afternoon.

18. Verify Folder \ File \ User Permissions; that may block or slow a Save-to-Central.  Consider reviewing this tech doc; “File not saved during synchronize with central troubleshooting“.

Low-Cost Revit Implementation Strategy That Wins Business

More than a dozen firms initially used only two Revit materials in their models: White Foam Core and Clear GlassMy May 2015 Sourcceable.net BIM article features a creative, business development strategy for any firm to transition from AutoCAD to Revit.  More than 15% of my clients initiated and completed this lower-cost Revit implementation strategy; that spans one year.

This process minimizes the initial staff training costs  and non-billable time. It positively engages the owner- executive team as we utilize existing software inventory –while limiting the new equipment investment.

Key to Lowering BIM Software and Implementation Costs

More than a dozen firms initially used only two Revit materials in their models: White Foam Core and Clear GlassThe process features a “Plan B” — for if or when the initial Revit team is feeling overwhelmed by a tight schedule and can’t complete the project in Revit.

It creates initial Revit building component content for the firms’ standard Revit library. The core processes are documented and become the firms’ Standard Revit Processes –defined by each firm’s graphic standards.

The final Revit deliverables are scaleable based on the technical skills of each team. This clearly avoids the one-size-fits-all Revit implementation-training-process.

Best of all, their Revit models were simple. More than a dozen firms initially used only two Revit materials in their models: White Foam Core and Clear Glass. They wanted to produce the digital equivalent of their physical White Foam Core board models.

It was July 2005, when a call from our Marketing Director positively impacted my career.

“Dan –You’ve been training our Midwest Revit and AutoCAD clients, delivering onsite & technical phone support and speaking at our AIA educational events & webinars.”

“Would you be interested in writing technical and business articles for our new blog?” he asked.

“What’s a blog?  What would I write? Who’s my audience?” I asked.

“We felt you could start by providing customer Revit support tutorials and provide pre-sales\post-sales Revit support for our Midwest clients & sales teams. What do think?

2005-2009: Fast-forward four years — we had been acquired by IMAGINiT Technologies and I now authored their ‘Architectural Blog‘. By then, I had written 350+ blog articles; that shared Revit & AutoCAD learning content, industry application trends and Revit implementation strategies –to over 10,000 global visitors/month. In 2006, I started a personal blog; ‘Revit Jobcaptain‘ using Google’s Blogger platform.

Basic Blog Tools: In 2005, I authored my articles using a PC HTML editor; while using  a FTP client to upload\publish the coded content to our website blog. We validated the final published code thru another website to insure our coding met RSS feed standards. Today Blogger & WordPress  blogging platforms do that automatically.

2009-2012:Revit Playbook‘ was my personal blog from 2009-2012; while I was self-employed and marketing my services nationally via Excel Engineering Inc.

Early Bloggers: My article content was  linked to and shared between other newbie bloggers like Steve Stafford, David Light and Chris (Mr Spot) Price. Autodesk had maybe 7-8 Bloggers; like Shaan Hurley. Today, Autodesk has over 100 Autodesk Technical – Business Blogs.

2011-Present:  In 2011, I began authoring ‘BradleyBIM‘ for Bradley Corporation. It helped market the Bradley Revit Library quality, standards and methodology –for our global clients and rep sales network.

Early Social Media: Autodesk forums, RevitCity, Ten Links & CADDigest helped  syndicate our articles and increase our daily visitors. Today we have LinkedIn, Facebook and Twitter social media sites to syndicate our articles.

Timing is Everything

  1. I had the good fortune of learning & applying PC CAD as an AutoCAD 1.x user.
  2. Volunteering to learn Revit from its founders in 2002; when Autodesk first acquired Revit –started another amazing journey.
  3. Blogging was new in our 2005 market. My goal was simple. Provide article content of client-tested processes; that I experienced in my Chicago and Midwest client offices.

Show Feature Benefits\Return-On-Investment (ROI):  While software & technology can be ‘Scary Cool’…they are only valuable when you demonstrate measured business value within the AECO market processes they are serving.

Success stories, featuring how my peers successfully extracted value from implementing new technology and processes –has been a popular theme over the last 10 years.

Client Question: The various Bradley Toilet Tissue Dispenser Revit models display a toilet paper roll. When I load the Revit model, the paper roll does not always display in my Revit project views. How can I best control the paper roll visibility? 

Answer: Here are a few display options for controlling the toilet paper roll visibility:

I’ll use a Bradley Diplomat (Recessed) Dispenser Revit Model in this tutorial.

1) Verify the Paper Product Visibility Parameter is Turned ON; when the Revit family is selected.

2) The Toilet Paper Roll visibility setting is ON –for Medium / Fine, not Coarse.

3) Open the Bradley Revit family and change the Visibility Settings for COARSE.

  • Go to a 3D View
  • Select the Paper Roll
  • Pick Visibility Settings Button above
  • Check the Coarse Setting to enable viewing of the paper roll with Coarse setting.
  • Pick OK.

Revit Family Reference Planes for Toilet Room and ADA Design Review

Consider using these four tips\processes; while creating manufacturer product Revit families and to assist with the design \ layout of these space types:

  • toilet rooms, locker rooms, washrooms
  • commercial kitchens & food service
  • mechanical & utility rooms
  • office, retail, education & healthcare space w/ furniture, fixtures & equipment

Revit for Restaurant Prototypes | Core Business-Design Values

1) Revit Family Reference Planes Aid Dimensioning

The image on the left is a front view of a Bradley solid surface lavatory Revit family.

The PLAN & FRONT ELEVATION images on the right; show the lavatory family installed into a Revit project.

The lavatory Revit family (on the left) embeds vertical and horizontal Reference Planes (green dashed lines); that define the vertical \ horizontal surfaces or center lines of lavatory components.

Tip: This includes Water & waste connections, electrical, faucet & soap dispenser placement, lavatory structural support and installation height locations.

Images on the right (above), show dimensions often used in PLAN\ELEVATION view in architectural, plumbing and/or contractor drawings.

Reference planes in the Revit Family are set to WEAK Reference; thereby allowing the Revit Project to dimension these locations.

Revit Reference Planes to Connect Revit Dimensions

Solid surface lavatory units typically have edges and corners with a radius.

Creating Reference Planes at these intersections; allows Revit to connect dimensions.
For example; a small radius exists on the front edge of the deck. A Revit dimension will not connect due to that radius.

A Reference Plane is created horizontally on the lavatory deck top; which allow Revit to connect to the surface and display the deck height dimensions.

2) Revit Project Reference Planes for Toilet Room Design-Layout

Both of these images show how the designer created Project Reference planes to coordinate placement of the solid surface fixture with mirrors, accessories and lighting — in both PLAN and ELEVATION views of the toilet room.

Revit Symbolic Lines (dashed circles) are used to represent the 5’ wheel chair turning-diameters within the floor plan.

Critical wall clearance dimensions can be locked in Revit to avoid accidental movement of walls or fixtures into the clearance space.

For this example, the 5’ dimension has been selected which displays the Revit Lock icon. Pick the “lock” icon to lock the 5’ dimension clearance between the two walls.

3) Data Coordination for Revit Schedules, Tags and Labels

Synchronize the Building Product Manufacturers’ data with the BIM\VDC Managers’ common parameters; that will be used within schedules and tags: For example the Door, Window, Plumbing Fixtures and Specialty Equipment Schedules.

In Revit, parameters need to be System Parameters or Shared Parameters for them to appear in Schedules and Tags.

Revit Tags are view-specific. This means users can create duplicate PLAN & ELEVATION views; while using tags that display different embedded information from the Revit family model. The PLAN view tags  (above) display the Revit family Type –and the ELEVATION view tags display the Revit Model value.

Revit Wheelchair Knee-Toe Clearance Box  for Toilet Room ADA \ Universal Design

4) Revit Clearance Box Family for ADA \ Universal Design Review

BIM Managers will create an ADA Model Component of the Wheelchair knee and foot clearance required beneath a Solid Surface Lavatory Deck. It insures the deck mounting height meets the clearance standards.

Revit Wheelchair Knee-Toe Clearance Box  Family for Toilet Room ADA \ Universal Design

This Revit family is a simple extrusion can be placed under a Solid Surface Lavatory Deck in a Revit Project or it can be nested into a Lavatory Deck family.

The solid extrusion is assigned a transparent light red material.

The Toe-Knee-Space-Length is a Revit “Instance Parameter”; providing users grip editing to lengthen or shorten the object via the “end grips”.

The critical dimensions that shape the clearance box object are locked so they remain accurate to the defined ADA dimensions.

The Right Image shows the Visibility Settings for the solid extrusion.

The extrusion’s visibility is turned OFF in the PLAN/RCP, Right/Left, Back/Front views.

Symbolic lines (red dashed) are traced over & locked to the perimeter of the extrusion.

The dashed lines will be visible for Coarse, Medium & Fine.

So they’ll be visible in these orthographic views; PLAN, FRONT & RIGHT Elevations.

4 Hours | AutoCAD to Visually Data-Rich Revit \ BIM Documents

On Thursday night, our facility engineer showed me an as-built AutoCAD sketch for his toilet room renovation project in our Ohio manufacturing facility.

He asked if I could enhance the sketch with Revit for his Tuesday meeting; with the contractor and facility engineers.

Starting Friday morning, it took 4 hours using Revit –to create a fully coordinated set of

  1. floor plan,
  2. interior sections,
  3. interior elevations,
  4. reflected ceiling plan,
  5. plumbing fixture and washroom accessory schedules,
  6. 3D plan and 3D interior views.

I linked his AutoCAD sketch of field measurements into the Revit file for tracing and as a reference for his ADA-toilet partition proposal.

Using the View Visibility (VV) settings, I set the  Imported Category (Linked CAD file) to Half-Tone to make it less pronounced in the views.

Our interior designer provided a spreadsheet of components with their respective materials and model numbers for each room.

While she didn’t specify the location of components; interior elevations and sections displayed product locations and heights for her review.

Using Bradley’s pre-built Revit Family Library, the interior views and schedules immediately updated as the Revit components (lavatories, toilet partitions, accessories) were added to floor plans.

Key Costs for Building Revit Families | 1000 Bradley Revit Family Library

We added a Revit COST parameter to another plumbing fixture\accessory schedule (not printed). We exported the schedules to a spreadsheet to assist with the contractor’s quoting process.

Revit Room Objects accurately reported each room’s square footage for the floor finish renovation of each room. Additional face-to-face dimensions were added to field verify clearances between existing walls.

Cross sections were created to field-verify clearances between the ceiling and structure.

It took 2 minutes to create a ‘blank”, correctly oriented reflected ceiling-tile plan from facility engineer’s photos. He wanted to enhance the discussion of ceiling fixture placement (lights, vents, diffuser) with the lighting and HVAC engineering contractors.

The project was printed to scale –on C-size PDFs; that are easily viewed or printed. Revit annotations (hatch, text, dimensions) automatically re-size and updated as we “played with each view’s scale” to fit them on C-Size title block.

Revit for Restaurant Prototypes | Core Business-Design Values

This plant facility is still managed in AutoCAD. However, we can export the Revit views to AutoCAD for inclusion into the facility’s existing AutoCAD master file.

Revit delivered these bottom line results;

  • design intention was very clear with accurate, coordinated plans, schedules, elevations, sections and 3D views.
  • faster creation of documentation with pre-built Revit 3D/2D product models; that include 3D & orthographic viewing options.
  • efficient, shorter long distance onsite contractor & facility engineer meeting,
  • the contractor received accurate counts & square footage of product to be installed.
  • improved construction communications (less travel) between Wisconsin and Ohio with unlimited 3D viewing.
  • improved installation coordination with 3-dimensional documentation.

Like most projects, our facility engineer returned from his trip with red marks, notes and decisions; that needed to be applied to the Revit file.

However, in Revit — changes made to plans, elevations, sections or schedules are IMMEDIATELY updated in all the other views. This is the native functionality of Revit; because all of the  project views are contained in one project file.
